What Zoho Campaigns cleans for you
Zoho Campaigns' native hygiene runs on contact status and its Do-Not-Mail suppression list. A hard bounce is treated as permanent: the contact is moved to Bounced Contacts, added to the suppression list, and stops receiving every future campaign — and because it's no longer an active contact, it also drops off the count your plan is billed on. A soft bounce buys up to seven more attempts; if the address keeps failing across those sends, Zoho escalates it to a hard bounce and retires it the same way. Unsubscribes and spam complaints are moved to the Do-Not-Mail registry and can't be mailed again — Zoho even blocks a re-import from silently re-adding an unsubscribed address, keeping it on Do-Not-Mail instead. For addresses Zoho Campaigns has actually mailed, that's reliable, automatic hygiene.
What it can't catch
The catch is that every one of those mechanisms is reactive — it needs a send and a bounce (or a complaint) to fire. Never-mailed invalids from imports and signup forms, disposable addresses, role addresses like info@ and support@, and decayed mailboxes have never bounced because Zoho has never sent to them, so they sit in your account as active contacts that look perfectly healthy until your first campaign hits them — which is exactly when a mailbox provider forms its first impression of your domain. An imported list is the sharpest case: it arrives with its bounce history amputated, so an address that was already failing on the old platform looks brand new in Zoho Campaigns — and counts as an active, billable contact from the moment it lands.
Why a clean Zoho Campaigns list matters
On Zoho Campaigns the stakes are double, because it prices your plan on your number of active (marketing) contacts. Its own hygiene already helps here — a hard-bounced or unsubscribed address is retired and drops off the active count on its own, so Zoho's housekeeping never inflates your bill. The money leak is the never-mailed junk: an imported invalid has never bounced, so Zoho still counts it as an active, billable contact — and it keeps costing you, campaign after campaign, until one of them finally bounces it. Verifying a file before you import keeps those addresses off your active count from day one. The bigger payoff is deliverability: every dead mailbox or spam trap you hit becomes a bounce or complaint that mailbox providers read as a signal about your sender reputation — the exact signal Gmail and Yahoo's 2024 sender rules now police on bounce and complaint rates. Export your contacts from Zoho Campaigns
In the Contacts module, open All Contacts — or open a specific mailing list under List Management for a targeted maintenance clean — then choose Export Contacts (or Export Mailing List) from the More menu. Select the Active contact type, keep the email field, and download the file as CSV.
Verify the file in Qualisend

Move the undeliverables to Do-Not-Mail in Zoho Campaigns
Filter your results to undeliverable, then move those addresses to Zoho's Do-Not-Mail (suppression) list by bulk-importing the file: on the Contacts tab, choose Import contacts → Import to "Do not mail." That drops them off your active (billable) count and puts them on the list Zoho checks before every send, so they can't be mailed again — and, unlike deleting the contacts outright (select them in All Contacts, then More Actions → Delete), it keeps the suppression record that stops a future import from silently re-adding them.
